We are looking for a Communications Specialist to join our team. This position is based in Charlotte, NC.

About the Communications Specialist Role

The Communications Specialist will play a pivotal role in shaping and upholding a positive image for Cardea and our clients through strategic communication, branding and proactive crisis management. The Communications Specialist will build trusted relationships with key stakeholders, craft messages, organize events and promote products or services, all while anticipating and managing public perception. Their duties will include supporting and overseeing PR initiatives, problem solving, developing and implementing plans and meeting goals.

Strong communication underpins everything we do at Cardea. As a Communications Specialist you will be responsible for managing communications with our clients, contributors and internal teams. Our team members interface with clients at the executive level with elevated communication style, executive presence and tailored presentation skills. Our team shows up in a professional way in all settings.

The ideal candidate for this role has both excellent organizational skills and attention to detail as well as the ability to see the big picture, observing process flow and trends across teams and projects and translating observations through strategic communications.

Responsibilities

  • General
    • Full-time, W2 position.
    • Located in Charlotte, North Carolina, or willing to relocate to Charlotte, North Carolina.
  • Communications
    • Craft executive-level communications for the company and its clients.
    • Evaluate public opinion of the company and its clients through surveys, polls, and active social media listening.
    • Perform research on timely topics and industry trends.
    • Assist in the planning and management of the design, content and production of marketing materials.
    • Draft, design and implement social media strategies, tactics and posts.
    • Stay up to date with current technologies and trends in social media, design tools and applications and share relevant updates with team and clients.
    • Prepare detailed media activity reports to include social media monitoring for the company and clients.
    • Respond to requests for information from media outlets.
    • Assist with proofreading and fact-checking to ensure all work adheres to company standards.
    • Develop press kit materials including press releases, images, pitches, case studies, feature articles, and trend stories to support business development.
    • Arrange details, talking points and event logistics for press conferences, interviews, and other media and event appearances for the company and its clients.
    • Perform other related duties as assigned.
  • Relationship Management
    • Build long-term relationships with clients and other key stakeholders.
    • Cultivate and maintain relationships with regional and national media outlets.
    • Respond to client and team member concerns in a timely manner with a solution-driven focus.
    • Encourage client and team member feedback on an ongoing basis.
    • Coordinate scheduling and logistics as necessary.
    • Document and deliver action items and notes from priority meetings.
  • Project Management
    • Proactively identify company and client needs.
    • Provide regular project reports and updates.
    • Assist in defining project scope and objectives, involving relevant stakeholders and ensuring technical feasibility.
    • Manage detailed project plans to monitor and track progress.
    • Manage and communicate changes to project scopes, schedules and budgets using appropriate verification techniques.
    • Measure project performance using appropriate tools and techniques.
    • Coordinate with internal resources and third parties/vendors for the flawless execution of projects.
    • Ensure projects are delivered on time and within scope and budget.
    • Assess resource allocation for projects and provide suggestions to continue expanding our team in a thoughtful way.
    • Observe and communicate scope changes to account management and leadership including implications on resources and timelines.
    • Suggest meeting cadences for new projects and schedule meetings accordingly.
    • Brief account managers and leadership on project status, task dependencies, challenges and risks on a regular basis.
  • Strategic Insight
    • Monitor and observe communication styles and gaps between team members and contributors; make suggestions for efficiency and improved workflow as needed.
    • Create new workflows and process documentation as needed.
    • Offer software and technology suggestions to improve workflow.
    • Suggest team building activities to continuously build candor amongst team members and contributors.
  • Team and Culture Building
    • Be willing to jump in to support our team as needed.
    • Serve as a brand ambassador on all occasions.

Qualifications

Qualifications, Capabilities and Skills

  • Detail-oriented with a proven track record of influence and execution.
  • Passionate about organization and continuous improvement.
  • Strong writing skills.
  • Proficient in Adobe Creative Suite or other graphic design software and Microsoft 365 suite.
  • Adaptable and agile in a fast-paced environment.
  • Strong communication and interpersonal skills.
  • Demonstrates executive presence and accountability.
  • Positive, can-do attitude balanced with strong risk management and problem-solving abilities.
  • Anticipates challenges and proactively address them while maintaining a steady work pace.

Education and Experience

  • Bachelor’s degree in marketing, communications, public relations or similar field from an accredited four-year college or university.
  • 1–3 years of experience in public relations and communications
  • Membership and involvement in Public Relations Society of America (PRSA) or Public Relations Student Society of America (PRSSA) is preferred.
